myCIVIS Assistant
The myCIVIS Assistant is an artificial intelligence tool integrated into myCIVIS that helps you find information about public services of the Autonomous Province of Bolzano. Instead of navigating through different pages or searching in menus, you can simply ask a question as you would with a real person. This guide explains how it works and how to use it best to get the answers you are looking for.
What it is
The myCIVIS Assistant is a conversational artificial intelligence system specialised in the public services of the Province of Bolzano. It is like having an expert operator available 24 hours a day, 7 days a week, with detailed knowledge of all the services, procedures and information of the provincial administration.
From a technological standpoint, the myCIVIS Assistant is built on the Microsoft Copilot platform and powered by Claude, the large language model developed by Anthropic.
This is one of the most advanced artificial intelligence architectures available today, designed with a strong focus on safety and accuracy — characteristics that are particularly relevant in a public administration context. The system is constantly evolving, improving over time both in its understanding of requests and in the quality of the information it provides.
The main function of the myCIVIS Assistant is to answer any doubts you may have about public services. You can ask for information on how to request a certificate, what documents are needed for a specific practice, whether you have the requirements to access a contribution, or where to find a section of the portal.
Unlike a simple search engine that returns a list of links, the myCIVIS Assistant understands the context of your request and gives you a direct answer. If you ask "How do I request the nursery bonus?", you won't just get the link to the service page, but also an explanation of the steps to follow, the necessary requirements and any documents to prepare.
While you type your question or search, the myCIVIS Assistant activates an intelligent autocomplete system that suggests relevant services. If you start writing "Nursery bonus", even before finishing the sentence, you will see suggestions like "Nursery bonus - Service card" appear that take you directly to the official page with all the detailed information.
The search system is designed to be flexible: you can write formally or informally, use common abbreviations, make typos or express the same thing in different ways. The artificial intelligence is trained to recognize different formulations of the same request and direct you to the correct answer.
The myCIVIS Assistant is very competent, but also knows how to recognize its own limits. If your question is particularly complex, requires the interpretation of a specific personal situation or goes beyond the scope of provincial services, the myCIVIS Assistant will direct you to the appropriate assistance channel.
How to use the myCIVIS Assistant
The myCIVIS Assistant is easily accessible from any page of the myCIVIS portal. You'll find the magnifying glass icon in the navigation bar. Clicking on the icon opens a conversation window where you can start typing your question. You don't need to be authenticated to use the myCIVIS Assistant: it also works for those who visit the portal without logging in, although some personalized information may require access.
Formulate effective questions
To get the best answers, it's useful to formulate questions clearly and specifically. Instead of asking generically "certificates", try "how can I request a certificate of residence?". The myCIVIS Assistant understands natural language, so you don't have to worry about using technical terms or particular formulas: write as you would normally speak.
If your question concerns a specific situation, provide some more details. For example, instead of asking "child benefits", you can specify "what contributions can I request for a child attending nursery?". The more context you provide, the more precise the answer will be. Don't worry if the first answer is not exactly what you were looking for: you can continue the conversation by asking follow-up questions or clarifying better what you need.
Refine the search through conversation
One of the most powerful features of the myCIVIS Assistant is the ability to maintain the context of the conversation. If you ask a first question and then ask another related one, the myCIVIS Assistant remembers what you were talking about and can give you more relevant answers. For example, after asking for information about the nursery bonus, you can simply ask "what documents are needed?" and the myCIVIS Assistant will understand that you are still referring to the nursery bonus.
You can also ask the myCIVIS Assistant to be more specific or to better explain a step you didn't understand. If an answer is too technical, try writing "can you explain it to me more simply?" or "what exactly does this point mean?". The myCIVIS Assistant will try to reformulate the answer in a more understandable way.
Security and privacy
Everything you write in the chat with the myCIVIS Assistant travels through encrypted connections that prevent third parties from intercepting communications. The servers that process your questions are located in secure data centers compliant with European data protection regulations. The entire technological system is configured to strictly comply with GDPR and the security standards required for public administration systems.
